How personal information is collected, used and protected by Soul Care Therapy.

1. Who this notice applies to
This notice applies to Soul Care Therapy, the private practice of Kimouy McCalla, Integrative Arts Psychotherapist and Clinical Supervisor. It covers people who enquire through this website, clients, parents and guardians, and supervisees.
Data controller details, including any Information Commissioner’s Office registration number, are to be confirmed prior to publication.
2. Data minimisation
Only information that is necessary is collected. The website enquiry form is deliberately minimal and asks that sensitive medical information, detailed clinical information and trauma history are not submitted through it. Detailed clinical information is gathered separately, within the therapeutic relationship, and is not collected through this website.
3. Contact and enquiry data
Where you make an enquiry, the information handled may include:
- Your name
- Your email address, and telephone number if you provide one
- Your country or time zone
- The service you are enquiring about and your preferred format
- Your preferred days or times
- Any brief message you choose to include
The website does not store enquiries on a server. The enquiry form composes a message in your own email application, which you then send. Once received, correspondence is handled as described below.
4. Special-category information
Information about health, including mental health, is special-category data under UK GDPR and is given additional protection. Such information is not requested through the public website. Where it is necessary within therapy or supervision, it is recorded only to the extent required for safe, competent professional practice.
5. Lawful bases
- Legitimate interests — responding to enquiries and administering the practice.
- Contract — providing the therapy or supervision agreed with you.
- Legal obligation — where the law requires information to be retained or disclosed.
- Vital interests — where there is a serious risk to life or safety.
For special-category data, the additional condition ordinarily relied upon is the provision of health or social care under Article 9(2)(h) UK GDPR, or explicit consent where that is appropriate. The final position on lawful bases is to be confirmed.
6. Confidentiality
Therapy and supervision are confidential. Confidentiality has limits, which are explained at the outset and set out in your individual agreement. Information may need to be shared where there is a serious risk to you or another person, where safeguarding duties apply, where the law or a court requires it, or where professional obligations require it. Wherever possible and appropriate, any such concern would be discussed with you first.
Kimouy attends clinical supervision as a requirement of professional practice. Client material discussed in supervision is anonymised.
7. Processors and third parties
Some services necessarily involve third parties — for example email provision and video conferencing for online sessions. Named processors, their locations and the safeguards applying to any international transfers are to be confirmed before publication. Personal information is not sold, and is not used for marketing.
8. Retention
Records are kept for no longer than necessary, in line with professional guidance and any applicable legal requirements. Enquiries that do not proceed to work together are deleted within a short period. Specific retention periods for clinical records, including records relating to children, are to be confirmed before publication.
9. Cookies and analytics
This website does not use analytics, advertising or tracking cookies, and does not profile visitors. Only cookies strictly necessary for the website to function may be used. No consent banner is presented because no non-essential cookies are set.
10. Security
Appropriate technical and organisational measures are taken to protect information, including access controls, secure storage and careful handling of correspondence. Please note that email is not a fully secure medium; it is best kept brief and free of sensitive detail.
11. Your rights
Under UK data protection law you have the right to:
- Be informed about how your information is used
- Request access to your personal information
- Request rectification of inaccurate information
- Request erasure, where applicable
- Request restriction of processing, where applicable
- Object to processing based on legitimate interests
- Request data portability, where applicable
- Withdraw consent, where consent is the basis relied upon
Some rights are qualified — for example, where records must be retained for legal or professional reasons. Requests are responded to within one month wherever possible.
12. Complaints
If you are concerned about how your information has been handled, please raise it directly in the first instance. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk). Concerns about professional practice may be raised with the UK Council for Psychotherapy.
