Terms & Cancellation

Terms of service.

These terms describe how the practice operates. They do not replace the individual therapeutic agreement or supervision contract signed with a client or supervisee.

1. Scope

These terms apply to services provided by Soul Care Therapy, the private practice of Kimouy McCalla, and to use of this website. Where anything here differs from your signed individual agreement, that agreement takes precedence.

2. Booking and assessment

Work ordinarily begins with an assessment session. Attending an assessment does not commit either party to ongoing work. Where ongoing therapy or supervision is agreed, a written agreement setting out the arrangements is provided.

For children and adolescents, initial enquiries should normally come from a parent, guardian or other appropriate responsible adult, and appropriate consent must be in place before work begins.

3. Fees

Fees are published as ranges on the fees page. The exact fee applicable to you will be agreed before work begins, and your agreed fee will be confirmed before payment is requested.

The first 15 minutes of ad-hoc telephone, email or written correspondence is provided without charge. Beyond this, professional time — including reports, letters, liaison with other professionals, meetings, observations and travel — may be charged on a pro-rata basis where appropriate, at the rates published.

4. Payment

Payment for the initial session is required in advance. Arrangements for subsequent sessions are set out in your individual agreement. Payment details are provided to you privately and are never published on this website.

Fees may be reviewed periodically. Reasonable notice of any change will be given.

5. Private medical insurance

Where private medical insurance is used, you remain responsible for confirming with your insurer that treatment is authorised, the number of sessions covered, any excess payable, the conditions of your policy and whether the particular service is covered.

Missed or late-cancelled appointments are often not reimbursed by insurers. Any amount not met by an insurer remains payable by you.

6. Cancellation policy

A 48-hour cancellation policy applies. Your appointment time is reserved specifically for you and cannot usually be reallocated at short notice.

  • Appointments cancelled or rearranged with at least 48 hours’ notice are not charged.
  • Appointments cancelled or rearranged with less than 48 hours’ notice may incur the full session fee.
  • Appointments not attended may incur the full session fee.

Where cancellations or rescheduling occur repeatedly, the therapeutic or supervisory arrangement may be reviewed together, so that the work continues to be useful and the time is used well. Discretion may reasonably be exercised in genuinely exceptional circumstances.

Planned breaks, including holidays, are discussed in advance wherever possible on both sides.

7. Confidentiality

What you bring is treated confidentially. There are limits, which are discussed at the outset. Information may need to be shared where:

  • There is a serious risk to your safety or that of another person
  • Safeguarding duties relating to a child or adult at risk apply
  • Disclosure is required by law or by a court
  • Professional or regulatory obligations require it

Where possible and appropriate, any such concern would normally be discussed with you first, and only the necessary information would be shared. Client material discussed in the therapist’s own supervision is anonymised.

8. Communications

Telephone, text and email are used for practical matters such as arranging appointments, and are not a substitute for sessions. Messages are not monitored continuously and may not be seen promptly. Email is not a fully secure medium; please avoid including sensitive detail.

9. Not an emergency service

Soul Care Therapy is not an emergency or crisis response service and does not offer out-of-hours or 24-hour support. If urgent help is needed, please contact your GP, NHS 111, or the emergency services on 999.

10. Online sessions and jurisdiction

Online sessions may be available internationally, subject to professional, regulatory, jurisdictional and insurance requirements. International enquiries are checked before an appointment is confirmed, and it may not always be possible to offer work in a particular jurisdiction.

11. Endings

You may end therapy or supervision at any time. Wherever possible, a planned ending is encouraged, as endings are a meaningful part of the work. Notice arrangements are set out in your individual agreement.

12. Website limitations

Information on this website is provided for general information only. It is not clinical advice, does not constitute an assessment, and does not create a therapeutic relationship. It should not be relied upon in place of professional advice tailored to your circumstances. Testimonials describe individual experiences and are not guarantees of outcome.

While reasonable care is taken to keep the website accurate and available, no guarantee is given as to uninterrupted availability. External links, where present, are not endorsements.

13. Governing law

These terms are governed by the law of England and Wales. Any complaint is welcomed directly in the first instance; concerns about professional practice may also be raised with the UK Council for Psychotherapy.
